Mason District Hospital

Inventory management in hospitals is important. Mason District Hospital sought to save time and improve confidence in supply availability by automating their manual inventory management processes. For this low-volume laboratory, DxONE Inventory Manager* was the ideal choice. The cloud-based hospital inventory software was easy to implement—even with a small staff—and yielded substantial time savings. With DxONE Inventory Manager automation, Mason District Hospital was able to reduce the time spent on inventory management from seven hours to just five minutes a month.

Profile

Mason District Hospital is a 25-bed critical access hospital, serving Havana, Illinois, and the surrounding areas. To process its daily workload of up to 150–200 billable tests per day, the low-volume laboratory staffs four technologists on weekdays, one on weeknights and two on weekends.

Challenge

The manual processes used for their lab inventory management system were time-consuming for the small staff at Mason District Hospital. It took one team member an average of seven hours a month to track and order supplies. At the same time, the laboratory experienced a lack of continuity in stock availability which added to the workload burden. As a result, the hospital looked for a solution to standardize inventory management processes, reduce time spent managing inventory and improve confidence in stock availability.

Solution

DxONE Inventory Manager, an end-to-end software solution which automates the recording, tracking and monitoring of laboratory consumables, helped Mason District Hospital. DxONE Inventory Manager manages reagent consumption, automates reordering tasks and removes the administrative aspect of stock management.

Results

After implementing DxONE Inventory Manager software into its workflow, Mason District Hospital experienced:

  • 99% reduction in time spent managing inventory—from seven hours to five minutes per month
  • 108% increase in inventory under management over three months, without added workload burden
  • Peace of mind due to increased confidence in its inventory position

Transformation

Inventory management in hospitals has an impact on patient care. For example, reagent availability was pivotal to the Mason District Hospital laboratory's ability to deliver diagnostic test results. Yet the laboratory's inventory management processes were manual, tedious and time-consuming. By implementing DxONE Inventory Manager into its workflow, Mason District Hospital was able to support patient care while saving time and enhancing productivity.

Rapid Deployment

Even with a staff of seven, Mason District Hospital was able to integrate the cloud-based software into its processes with ease. DxONE Inventory Manager simplified and standardized inventory management so that information was quickly accessible and readily available.

DxONE Inventory Manager consolidates and organizes all inventory management information into one easily viewable central repository. With this capability, Mason District Hospital has been able to access real-time supply-level data whenever necessary.

Citing its ease-of-use and scalability, in the following three months implementation of DxONE Inventory Manager, Mason District Hospital doubled the amount of inventory managed by the software.

Efficiency and time savings

Since the laboratory started using DxONE Inventory Manager, it has been able to reclaim about one full shift's worth of time per month. The inventory management tasks that previously required an average of seven hours, have been reduced to just five minutes (see Figure 1.)

By automating processes, the laboratory has eliminated time—consuming activities-from deciding on supply quantities to generating purchase orders. Technologists now quickly consult the system's dashboard, view stock level reports and, with the push of a button, order supplies.

Enhanced confidence

The laboratory’s transformation from manual to automated processing has strengthened confidence in its inventory supply management. With DxONE Inventory Manager, staff can view supply status at a glance at all times, ensuring necessary supplies are readily available when needed.

Features that allow easy reordering and alerts when supplies run low have increased the laboratory’s operational consistency. With this added efficiency and greater productivity, Mason District Hospital remains poised to deliver quality care to its and patients.
